Nowadays, artificial intelligences are everywhere and even invite themselves into companies. AI like chatGPT also has useful features for HRDs. The company RH Tomorrow has carried out analyzes which have made it possible to classify the 10 most promising tools. She then presents the notes as well as the issues related to these tools.

The company RH Tomorrow has researched the features of ChatGPT that can be useful for human resources. She was able to identify 10 interesting features that could be effective. The company based its request on its needs and on the contributions that AI can offer for the productivity of the company. There are useful features for recruitment, file selection and personnel management . Each of these tools has its specificities, advantages and disadvantages. It should be remembered that artificial intelligence like chatGPT has some flaws despite its effectiveness. But, an IT consultant can be done to look into it and solve them.

What are these different features?

The search performed on ChatGPT 3.5 had the query: “What are the 10 useful ChatGPT tools for HR managers?” Thanks to this, RH Tomorrow Theory was able to draw the most interesting tools from it:

  • ChatGPT API
  • Recruitment chatbot
  • Analyze the CV
  • Automated responses to common questions
  • Integration training
  • Assistance to employees
  • Schedule planning
  • Evaluation of performances
  • Analysis of employee feedback
  • Formation continues

Each of these tools can be used in the recruitment process or employee management.

To find the tools that correspond to the needs of a company, it is quite possible to carry out an IT consultation . This will let the company know whether it needs to integrate new software or not.

What are the pros and cons of these tools?

During the analysis carried out on these tools, it has been shown that each of them has its advantages and its shortcomings. Indeed, RH Tomorrow was able to study them, which made it possible to assign them marks.

Among the most noticed advantages is the speed of execution, which undoubtedly improves HR productivity. As an example, for the Recruitment Chatbot, it was rated 4/5 for productivity. It automates recruitment, which saves HR time for other tasks.

That said, despite the advantages, there are of course the flaws . The reduction of human contact is one of them. For example, the employee support tool is rated 3/5 in terms of productivity. Indeed, the lack of humanity does not solve problems effectively. In addition, it could possibly put employees’ personal information at risk.

Another example, the employee feedback analysis feature is also not entirely reliable. Indeed, generative AIs can interpret comments in another way, which can be misleading.

Of course, you can go into a customer appointment on the off chance and hope that your product will convince the other person right away. If you want to increase your chances of hitting a successful deal, a little preparation won’t hurt.

We’ll tell you a few obvious and a few surprising points that are important when the sales department prepares a customer appointment.

A first conversation is not a sale

This tip could also be: Don’t praise the day before the evening. It goes without saying that it is a reason to be happy when you strike up a conversation with a lead or arrange an appointment together. However, an initial interest is no guarantee that a meeting will actually take place or that a sale will be completed.

This is exactly why intensive preparation is so important. First, research all the facts about your potential customer. Check out the history of the company and its line of business. If the company or the consumer has been a customer of yours for a long time and the contract is to be renewed, the common history is the most important thing. This can be used to estimate what and how many the customer wants to buy and what is important to him.

Arrange and record the customer appointment

It is best to make an appointment by telephone and then send all key data electronically so that they can be looked up later. Or send a date query to your customer. He then has the opportunity to propose an appointment himself.

Use customer appointment preparation to check whether it fits

If you find out what a product has to do in order for your prospect to buy it, this can also lead to the realization that it just doesn’t fit. They may have misunderstood your offer and expected something completely different. Be honest with yourself about what you can deliver. If the deal is important enough to you, you might consider upgrading your services accordingly.

Prepare the personal level

Get to know your customer not only as a company (in B2B business) or as a target group (B2C) – but also as the person you will be speaking to. Knowing the name is the bare minimum. Additionally, find out about this person’s job, similarities, and character .

You could do this by asking members of your team who know this customer. Or browse the web for social media profiles, a self-description or press reviews. Start a conversation on a personal level. However, it is better to avoid typical controversial topics such as politics or religion. These will only tarnish the business relationship, and if directions diverge too extreme, the chemistry and your goals won’t match anyway.

I’m packing my briefcase…

Using a list that I make beforehand so I don’t forget anything. Your sales team should create a packing list for preparing for customer appointments, adding to it as needed. This includes not only physical items such as a laptop or tablet, business card and model of the product, but also digital files, information or access that is required.

A discussion guide should always be on the packing list . This should not restrict, but give you security and ensure that you do not forget any important point.

Self-confidence during the customer appointment and afterwards

When all the material necessities are packed, it’s still a matter of taking the right mindset with you. The in-depth preparation, the clarity about what the customer wants and whether you can map this, the recorded appointment data – all of this already gives security. From now on you can concentrate fully on the strengths of your product and use your sales talent.

To ensure that everything continues with the same certainty after the conversation, plan how notes will be taken right from the start. If it is not possible during this time, then as soon as possible afterwards, while the memories are still fresh. The follow-up includes planning the next steps, a transfer to the CRM and notifying the team.

Appointment scheduling with calendar or sales app

Use a calendar to avoid overlapping appointments. That sounds obvious, but it happens again and again at several meetings a week. Also, do not rely on your memory, but put everything in writing . The information can be sent to all participants via Flixcheck, for example.

There are sales apps that are designed to coordinate multiple customer meetings. They set routes and allow you to share customer information, the meeting agenda, and all other files with the entire sales team . This enables substitution in the event of illness.

Have all your travel dates ready when you arrive

We all know the feeling that we would like to double check if we are at the right platform at the right time. What is our seat and how much connection time do we have? Which street do we have to go to? The best way to prepare for a customer appointment is not only to know this information as well as possible, but above all to always have it at hand.

The internet will not always be stable when you are on the go. So have a screenshot or an app that can be used offline at hand. Incidentally, a time buffer forwards and backwards is always advisable. If your meeting takes less time, you can have a coffee with the customer and chat informally. If he wants to continue working, you have the same option. The next meeting will definitely come!

The last minutes before the online meeting

Open the Zoom meeting at the last minute? That is possible. However, it will lead to a bumpy start. It is better to carry out a technical test again , even if this seems redundant. Recognizing sound or picture problems immediately is always better than a half-hour delay.

Stay reachable on all channels right before the meeting and until all participants have arrived. Your customer would be happy to quickly write an email or SMS that he or she will be coming later. Or that the camera doesn’t work, or that you prefer an alternative channel. If you can only be reached via video chat right now, the customer doesn’t know how to reach you.

Efficient capital planning is essential in ensuring the success of any project. It is the very core and power of every successfully managed project. This is why it is essential that it is smoothly integrated into a project management system, or better, a project management software. This article will discuss the importance of the symbiosis between the two. It will also offer a nifty solution to make all things work better.

3 Ways Capital Planning and Project Management Software Work Together

The two work hand in hand as they are both centered on the following:

1. Definition of goals.

Both capital planning and project management are centered on the definition of goals. Such a definition serves as the very foundation and anchor of a project. Without such, the project can be as good as a plan that does not even exist.

2. Planning on how to reach goals.

It’s impossible to be successful at any project if there are no actionable tasks. For goals to be fulfilled, actual work must be done. Actual work involves a clear understanding of a timeline that a project needs to work around. All projects must come with a clearly delineated action plan that any team member can easily refer to and be guided by at any given time.

3. Monitoring of performance.

It’s impossible to separate the two when it comes to monitoring the performance of a project. This is because effective monitoring of a project will always return to capital planning and will always refer to project management concepts and protocols when moving forward. This is why a perfect understanding of how both concepts work is the key to ensuring planning success.

3 Challenges that People Encounter During Capital Planning Project Approval

To fully be in control of the capital planning process, you need to be aware of the challenges that people encounter in every stage of project approval:

1. Selling the project

Selling any kind of project is hard. You have to be persuasive, compelling, and trustworthy. To be able to do this, you need intelligent updated data at your disposal at all times. You need to be thorough in your financial analysis and data management.

2. Project presentation

Your project can possibly be the very next thing that can save the world but all will be for naught if you will not be able to present it effectively. The challenges in this stage will still involve data but this time, it will branch on proper analysis and presentation. You would need to know how to use and present your data intelligently.

3. Approval

Approval can only be had if you’ve made a good show of your total control of all known aspects and data in a project. Investors and stakeholders will trust you if they know that you have all the necessary data that you need and you know how to use them to achieve your goals. Your challenge here will still root in your relationship with all available data.

4 Challenges Common in Both Capital Planning and Project Management

The following are interconnected problems that people in capital planning and project management have to deal with:

1. Delays in approvals

Delays take place when there is no organized system that can filter every project in its precise nature. Team members need to know how urgent a task is. There should always be a clear mandate that urgent tasks should always be prioritized. You will be shocked to find out that most delays often take place in organizations that do not have categorized tasks depending on urgency and importance.

2. Massive portfolio and limited time

Businesses deal with thousands of decisions and tasks every day with thousands of team players and hundreds of stakeholders. Such can be easily overwhelming on any given day if there is no structured organized system that streamlines processes.

3. System integration

There should always be a clear understanding of how all systems, teams, and departments are interconnected. Failure to understand such will result in a disparate system that always gets delayed when it comes to execution as it does not have a uniform way of connecting different departments, team members, and tasks. It is heartbreaking to always need weeks of preparation and structuring before beginning an actual project just because a team does not have a working structure that streamlines all tasks.

4. Funding

Funding becomes problematic when it is not handled well. A solo project can deal with hundreds of different funds that need to be organized, checked, monitored, and evaluated on a daily basis. This becomes a problem if a team cannot do such a task seamlessly.

Integrated Data is Key

All such issues only ever occur because there is no efficient way of integrating massive amounts of data. It’s as simple as knowing that no human can possibly read 20 books at the same time. It’s simply impossible. It’s a good thing that businesses can now rely on current advances in technology to make the impossible possible.

A Nifty Solution

All enlisted problems can be conquered and efficiently dealt with if a business would use capital project management software. Such software will make it easy for any project to be successful because all essential data will be available in one hub that connects all team members. A capital management software will seamlessly organize millions of data and tasks into one clean timeline that can easily be viewed and monitored at any given time. Capital project management software is a potent tool that every business that wishes to succeed and expand should have.

In the business world, acquiring a new customer is much more expensive than investing in retaining existing customers. In this sense, CRM software is an indispensable customer relationship management solution. It is seen as an undeniable opportunity when it comes to goal investing. But how to best manage this tool for its commercial prospect ? We tell you about it in this article.

Definition of commercial prospecting

As a reminder, commercial prospecting is the fact of looking for potential customers also called prospects. There are different methods such as telephone prospecting, canvassing, emailing or attending trade shows.

How to effectively organize your commercial prospecting?

All entrepreneurs and business owners know it: organizing a commercial prospect is not easy. When you want to embark on a commercial prospect, it is essential to focus on the opportunities to be seized. To do this, you must target the prospect’s need or problem and provide a solution through your product or service. If at the stage of targeting the need, you realize that your solution is not adequate, do not waste your time continuing this prospecting. It would be unproductive to invest in prospecting with an uncertain outcome.

For your commercial approach to be effective, it is recommended to have a global vision of your current and future objectives. Under these conditions, equipping yourself with a computer tool in order to carry out your prospecting is essential. It is, in fact, recommended to use a CRM for a better follow-up of prospects and for a better loyalty of your customers.

If you already use a prospecting tool such as Waalaxy, you have the option of connecting it with your CRM. Indeed, some CRMs offer to directly integrate prospecting solutions, or to import prospects via Excel lists.

Skipping a CRM solution increases gaps in actions, stress and sight-seeing. But you still need to have the right tool for your problem!

The CRM: an essential tool for prospecting!

The commercial domain brings together many actors such as prospects, customers, partners. The exchanges are numerous and it is not easy to manage everything.

In order not to scatter with the increase in contact channels, you must understand your target’s buying journey in its entirety. This will facilitate your ability to detect opportunities in relation to the behaviors of your prospects.

With the use of a CRM , your sales team will be able to understand, anticipate and manage the expectations of your current and potential customers. As a sales manager, your role is to use efficient means to boost the productivity of your sales force . It is therefore up to you to put in place a performance-based management.

In this, the CRM is an essential application. It allows you to measure the strengths and weaknesses of your team. It is also a way to strengthen the cohesion of salespeople while sharpening their competitive spirit. Objectives: management of opportunities, commercial follow-up, increase in the ROI of your marketing campaigns, etc. This opportunity management is greatly facilitated by the dynamic features of the Kanban pipeline. Indeed, the kanban view aims to help your team better manage the follow-up of potential customers by visualizing, for example, the number of opportunities to be seized or the negotiations in progress.

In business management, commercial CRM mainly responds to five issues

  • The empowerment of teams with the creation of a prospect file.
  • The integration of multi-channel which makes it possible to centralize customer data through contact management media: teleprospecting, social networks, direct mail, customer service, etc.
  • Reduction of management costs and optimization of expenses thanks to better targeting and automation of commercial actions.
  • The optimization of customer satisfaction based on a level of offer of adapted and personalized products and services.
  • Easy commercial follow-up, so that even the last salesperson to join the team would be able to quickly know the history of customers at a glance in the CRM.

How to choose a CRM adapted to your company?

To optimize your business management, the CRM software market offers a wide range of products. It is easy to get lost in this panoply of marketing solutions. Most CRM functionalities cover a similar field of action, but can sometimes be differentiated thanks to advanced applications, specializing in a distinctive need or in response to a particular market segment.

In other words, a CRM software can be evaluated on several aspects of use and characteristics. However, the best solution that can exist obviously remains the one that best meets your expectations, and naturally your capacity for investment. Assessing each CRM solution based on functionality, overall interface offering, upgrade cycles, interactions and marketing methods is an excellent approach to guide your choice. Intuitive, ergonomic and easy to use, a good CRM-type business management and monitoring tool must meet the intrinsic needs of your business.

It is therefore better to approach the question by asking yourself which CRM application is made for your organization and which will correspond perfectly to your ambitions. Also note that investing in such a CRM solution is not just a matter of acquiring and implementing software. In particular, it involves establishing a promising relationship with an approved service provider who can ensure the good quality of the support, its extension and its updating.

To this end, increase your productivity by familiarizing yourself with the prospecting management tool included in the KPulse solutions. By this means, you will simplify the work of your teams by planning commercial actions so as not to miss any opportunity. It is your organizational communication that will come out a winner with the perfect knowledge that you will have of your customers.

ERP software is a central tool in the performance of a company’s operational activities. It makes it possible to optimize the general management of a company. In this, it reduces costs and better allocates resources. But what exactly is ERP software? What is the definition of ERP software? What is ERP software used for? And what is the cost of ERP software?

In this article, we answer all the questions you may have about using ERP software.

ERP software definition

An ERP stands for “Enterprise Resource Planning” which means in French “Management of a company’s resources”. ERP software is in fact a software solution that makes it possible to pilot and manage all of a company’s operational processes on a daily basis.

This kind of software is called in the French language “PGI”, which means “Integrated management software”. Such software centralizes all the tools and functionalities necessary for the management of a company as well as all the data on a single basis.

ERP software then integrates functionalities such as: inventory and product management, supplier management, production management, commercial management, customer relationship management, human resources management or accounting management. . The objective in using ERP software is then to simplify and optimize all of these tasks.

In fact, ERP software can be defined as the backbone of a business.

What is SaaS ERP software?

You may have heard of SaaS software before but only have a vague idea of what it is? So what is SaaS ERP software?

A SaaS solution (meaning “Software as a Service” or “Software as a Service”) is a software solution hosted in the cloud by the software publisher and therefore on a server outside the company using the software.

What you have to understand from this is that SaaS ERP software is seen as a service and not as a product acquired during purchase. It is thus distributed on the Internet in the form of a service. Users opting for SaaS ERP software then pay a monthly or annual subscription. They don’t actually have to buy any licenses and don’t have to install anything on their computer. Users therefore have no paid update to set up. These are carried out by the software publisher itself.

The SaaS ERP software is therefore directly accessible from the web, from any browser and from any terminal (smartphone, tablet, PC or Mac). Users each have identifiers to connect to their space.

Thus, if we summarize “what is ERP SaaS software”, it is software hosted in the cloud and distributed by a publisher who makes it accessible to its customers via the Internet.

What are the benefits of SaaS ERP software?

Today, “traditional” ERP software that is not in SaaS mode is showing its limits. These ERP software which are not in SaaS mode find it very difficult to meet the needs of increasingly large and evolving data exchanges. These traditional software are not as flexible as SaaS ERP software. They do not adapt continuously but very punctually bring heavy modifications. These heavy modifications are accompanied by heavy updates which are your responsibility. If you opt for SaaS ERP software, you will not have to pay for these updates. In addition, the software will be much more scalable and adaptive.

What are the other benefits of SaaS ERP software?

Cost reduction

With SaaS ERP software, you will no longer need to install your software on your own computer (or on a company Data Center). Indeed, SaaS ERP software is available directly online on the web. The fact of having nothing more to install leads to a drastic reduction in operational costs.

You no longer have hardware acquisition costs, software license costs, installation, support, maintenance or update costs. With SaaS ERP software, you actually have the only cost of your subscription.

Great agility and flexibility

SaaS ERP software has great agility and flexibility. First, businesses can organize their budget with greater ease and accuracy. Indeed, a SaaS offer comes in the form of a subscription whose price is proportional to the number of users. Then, a SaaS ERP software is also flexible because it is accessible from any device and from anywhere. Finally, flexibility and agility in the fact that you will be able to customize your SaaS ERP software to your image so that it reflects your business.

High scalability

SaaS ERP software will also be recognized for its high scalability. Scalability refers to the ability to adapt from a dimensional point of view, both towards lower sizes and towards higher sizes. In fact, depending on the needs that the user may have, the latter may have access only to the services and functionalities that correspond to his activity. Users then become more autonomous and productive.

Scalability is an important advantage for an organization planning to expand its scope of activity or for a high or medium growth company. By opting for SaaS ERP software, the company in question does not need additional IT resources and infrastructure. As the organization grows, SaaS ERP software can actually be extended to meet new requirements.

Better scalability

SaaS ERP software will also have better scalability. Every day there are new features appearing and new updates happening automatically. All of these updates increase overall productivity. Thus, an ERP SaaS software can respond much more easily and quickly to new needs that arise in terms of management or to changes that may have in a company. It evolves and adapts continuously unlike traditional ERP software which can quickly become outdated or too old.

Enhanced security

ERP software in SaaS mode also has the advantage of security. Additional security is provided since the data is stored in the cloud. The servers that store the data are very powerful and secure. Indeed, the data is hosted on a remote server through a secure connection which guarantees the protection of your data. With SaaS ERP software, you therefore have almost no chance of losing your data. Finally, access to the ERP software is strictly confidential and reserved only for members who have the necessary authorizations. No one else will be able to connect to your space.

What is ERP software used for?

Using ERP software allows you to simplify the management of your company from all points of view. ERP software makes it easier to manage a company’s activity, improve its performance, increase its productivity and secure all its processes.

Thus, ERP software allows a company to optimize its costs (in terms of inventory management, supplier management, etc.) but also its performance (operational processes, planning, data sharing, collaboration, customer knowledge, etc.) ).

ERP software allows you to perform all management tasks via the following features:

  • Accounting and financial management
  • Stock management
  • Production management (GPAO)
  • Human resources management
  • Supplier management
  • Commercial management
  • Customer relationship management
  • E-commerce management
  • Distribution management

Each module and feature are related. This means that each application communicates with the other and you only have to enter the data once so that it ends up everywhere where it needs to be.

One of the other objectives of an ERP tool is to standardize the company’s information system. Everything is centralized in a single software and companies then avoid dealing with multiple software. This avoids, for example, that you spend your time exchanging files between services. Thanks to ERP software, you can centralize all the company’s information. A gain in productivity will necessarily be felt.

ERP software also streamlines communication. All company employees have access to the level of information they need. And we know this very well: the more transparency there is, the more rigorous the organization and the better the human relations. ERP software makes it easier to manage your company’s human resources. You will then be able to optimize the organization of your business much better and once again gain in productivity.

Thus, an ERP software covers all the needs of a company and allows it to be more efficient, faster and all this in a simplified, flexible and adapted way. With ERP software, you have a complete view of your business and make better decisions faster. All this increases productivity, performance and therefore profitability.

How to use ERP software?

Well since earlier, we have been talking about what is the definition of ERP software or what is ERP software used for. But then, you may be asking yourself the question: how to use ERP software?

In fact, there is nothing simpler, if of course you opt for SaaS ERP software (see the paragraphs “What is SaaS ERP software” or “What are the advantages of a ERP SaaS software?”).

Indeed, if you opt for ERP SaaS software, you have nothing to install on your computer, no license to buy or even no equipment to acquire.

You just need to:

  • Go on the internet and type the name of the ERP you have chosen in the search bar.
  • Click on the official website link.
  • Click on “register” to create your account.
  • Pin the link to the taskbar (to create a shortcut for future logins).

And voila, your account is created! Then, you just have to let yourself be guided by the software which will help you to personalize your space, to hide or display the modules which do not interest you or which interest you. You can also import your data in the “Settings” section such as prospect, customer, product and supplier data. You will be able to configure roles for your other users / collaborators and define the accesses (that is to say, what they will have access to and which they will be able to see or modify).

Note that if you have trouble getting to grips with the software or simply want a detailed presentation of an ERP software in question, very often, publishers offer demonstrations (public or private, it depends) of their software. .

Also note that very often, ERP SaaS software publishers offer, in addition to their software available online, a mobile application to download from the App Store or Google Play (depending on whether you are on Apple or Android).

How to choose your ERP software?

Nowadays, many publishers offer ERP software. In other words, you are spoiled for choice! But how to choose your ERP software?

Well first of all, you have to be able to clearly define your needs and your objectives. What is ERP software for you? What do you think ERP software is for? And what needs should it meet? To choose your ERP software, you must clearly define your selection criteria in order to effectively compare the various offers and find the one that suits you best.

To clearly highlight your selection criteria, we advise you to write precise specifications. To better define your needs, you can rely on the following criteria and questions:

  • What is the size of your company, the number of employees in the company, the type of activities, the mode of operation of the company and its specificities (production, finance, etc.)?
  • Is the solution adapted to your activities and your processes?
  • Is the solution modern, flexible and ergonomic?
  • Is the solution easy to use and simple to set up?
  • Is the solution flexible and customizable to your image?
  • What is the quality of customer support and integrated services (updates, guides, advice, customer support, online documentation, etc.)?
  • What budget are you willing to spend?
  • What are the customer opinions about the software in question?
  • What software developments have been made and what is the rate of updates?

Once you have answered these questions precisely, you will be able to establish precise specifications.

You will then have to go on the internet to see the different software publishers and the offers they offer. Publishers very often give demonstrations of their software. You can reserve a time slot to participate in a demonstration. It will be easier for you to form an opinion, to compare each software and to choose the one that suits you best.

If you’re having trouble defining your needs, don’t worry. By dint of research on the internet on ERP software, you will learn more. You will end up better defining your processes, your needs, what you cannot ignore and what is less important to you.

How much does ERP software cost?

The cost of an ERP depends on several criteria such as its complexity, the developments to be carried out or not, the number of users, the infrastructure, etc. The first prices are around 10 € / month, and the highest can approach the hundreds of euros. The prices vary a lot from one company to another and according to the offer that is proposed. It is therefore rather difficult to give a scale. It is better that you define what budget you are ready to devote monthly or annually.

The competitive and cost pressure in the telecommunications industry is great. In order to stand out from the competition, it is necessary to provide customers with affordable and state-of-the-art services. Intelligent automation can play its part in this.

In the face of fierce competition, telecom operators need to provide their customers with affordable and state-of-the-art services while at the same time aiming to provide optimal customer experiences. In general, the industry is facing a dwindling number of subscribers and revenues, which means that operating costs must be kept low.

Companies in the telecommunications sector have always been drivers of digitization – the introduction of new technologies always improves connectivity and the coexistence of society. The introduction of 5G also offers new, great potential to offer both consumers and companies new services and opportunities. In order to be able to stand out from the competition with the new technology, the telecommunications industry has to deal with the topic of automation. It needs to automate processes to increase operational efficiencies, streamline operations, and improve customer experiences with new service offerings and technologies.

Intelligent bots offer many advantages

As part of the so-called intelligent automation, Robotic Process Automation (RPA) is integrated with advanced technologies such as Artificial Intelligence (AI) and Machine Learning (ML). The software robots, which act as digital employees, receive advanced analytical and cognitive skills such as reading documents or can use them to perform activities that require rule-based thinking. This not only brings considerable advantages for companies in telecommunications, but in all sectors.

Agile and ready to go: The pandemic has highlighted the importance of agile and resilient operations. With a fully scalable digital workforce, constraints such as employee absenteeism or fluctuations in productivity levels caused by remote work, among other things, can be accommodated. Because digital employees can do their jobs at any time and under any circumstances. In this way, they maximize network and service availability and contribute to a positive customer experience.

Streamlined compliance: Digital workers also help with regulatory compliance. Within the framework of the GDPR, the use of intelligent automation can, for example, relieve employees in the compliance area, and risks can be identified at an early stage and automatically classified. This considerably simplifies the high level of manual work involved in fulfilling all of the evidence and documentation required by the GDPR. This is vital as privacy and security regulations continue to increase and the consequences of data breaches become more severe.

Reduce enterprise costs: Digital workers can take on repetitive tasks and offload employees, leading to a reduction in overhead and service costs by automating business support systems (BSS) and operating support systems (OSS) and standardizing processes.

This allows companies to use and plan their existing digital resources accordingly. The aim is to support employees with the new technology in completing their tasks and not to replace them. Digital workers free up time for employees to focus on delivering quality customer service.

Continuous Innovation: By freeing employees from repetitive and mundane process-driven tasks, teams can focus more time and energy on developing core products and services. This is especially important in the disruptive telecoms industry to meet changing customer and market demands. The freed-up time of employees leads to more innovation and collaboration as well as improved customer experiences and, in turn, better business outcomes.

Intelligent automation with a scalable digital workforce can make telecom processes more agile and efficient. It offers telecom operators the opportunity to direct their workforce to more complex jobs and higher-value activities, while digital workers take on simpler tasks. This will play an important role in launching new services, including unlocking the full commercial potential of 5G.

Dropbox, Google Drive, iCloud and more – there are many cloud services these days. Microsoft’s branded option in the cloud storage market is called OneDrive. What can OneDrive do? Does the cloud solution score in terms of data protection? Does the service tend to be used for private or business purposes? We took a close look at OneDrive…

With the help of the OneDrive cloud service offered by Microsoft, data can be uploaded to online storage – or, as the saying goes: “store in the cloud”. As in any cloud storage service, files can be stored in Microsoft OneDrive so that they can be called up from any location – whether via browser, client application or OneDrive app, which is available for Windows Phone, iOS and Android. With OneDrive you have photos and files anywhere and on any device – super practical!

However, cloud storage is not only useful in order to be able to access data from anywhere: Especially in the event of a loss or defect in the end device, it is very valuable if all relevant files are stored in another location, for example in OneDrive . A function that is enormously useful both personally for photos, videos & Co., as well as for Excel spreadsheets, Word documents and other business files. However, this does not replace a backup.

So that all data is always in sync everywhere, you can easily create a OneDrive folder on your computer. All files that are moved to this folder are then automatically located in the OneDrive cloud. The moment data is added, changed or deleted from any storage location, it is automatically synchronized to any other storage location. The only requirement for this: a connection to the Internet.

For an optimal exchange with others, files and photos from OneDrive can be easily shared – whether it’s the grandson’s birthday photo that you want to send to grandma or the annual report that you want to send to the employer to look through. Instead of sending a file via e-mail or dragging it onto the USB stick and thus ensuring a duplicate of the file, whoever you want to make the file available to is simply sent a direct link to the file in OneDrive sent – this is super direct and at the same time ensures that no avoidable copies of files are made.

What can the business version of OneDrive do?

In addition to the OneDrive standard solution, Microsoft also offers a product called “OneDrive for Business”. This is a cloud storage service from Microsoft, which was specially developed for use in companies and was therefore optimally customized for teamwork. The cloud option is based primarily on Microsoft SharePoint technology and can therefore do much more than a “normal” cloud storage service: You can use OneDrive for Business to work with different people in real time on the same document – co-authoring is the name of the efficient approach that makes great teamwork of the future possible.

OneDrive works hand in hand with Microsoft applications – especially with Office 365 or Microsoft 365. For example, a PowerPoint presentation that user A has stored in OneDrive can be viewed and revised by user B via a browser without user B having to set up PowerPoint on the PC. And user C can watch from the other side of the world and comment on the changes. Those capabilities make teamwork immensely easier, especially in those where part of the team is Microsoft users and the other part is Mac users. As a result of the automatic data synchronization of OneDrive, all colleagues can always access the current version when working collaboratively without having to first manually obtain the latest version.

An additional advantage of OneDrive for Business: Versioning is available to users. Users can therefore reconstruct old, previously saved versions of the Office documents that are in OneDrive. By default, the last 500 versions of a document are automatically backed up in the background and can be used again if necessary.

How secure is Microsoft OneDrive?

First of all, you have to accept that for a method like OneDrive, in which sensitive, confidential data is stored – whether personal or business sphere – the topic of data security is an essential role. It must also be clear who can (at least theoretically) gain insight into the data stored in OneDrive.

What is the status quo? Well, OneDrive has standard SSL encryption when transferring documents – once stored on the server, 256bit AES encryption is used to protect the data. If you also want to encrypt the data in OneDrive, tools such as Boxcryptor or Microsoft BitLocker can be helpful as an extension for the secure use of OneDrive in the company. OneDrive for Business also offers two-factor authentication, which ensures that only authorized users can gain access to files – an advanced and widely recognized option that ensures unauthorized people are denied access to the OneDrive cloud can. In addition, a simple but important measure to protect against hackers:

Where is the data stored? This is a very important question, because if the data in OneDrive is hosted on American web servers, then this is extremely questionable from a data protection perspective, especially with regard to the strict requirements of the European General Data Protection Regulation (GDPR). It would therefore be unthinkable for European companies to use it without abusing the applicable data protection regulations. Microsoft is of course aware of the current state of affairs. Therefore, the data of all companies that use OneDrive for Business and are based in Europe are stored on servers in data centers in the EU.

If you are looking for precise information about where Microsoft stores which data, you will find it on that page . All locations of the data centers used by Microsoft are listed here for each Microsoft service used. The data of users of the OneDrive for Business service who have a billing address in Germany is therefore only hosted in Germany.

Cloud storage services in general are mostly criticized for alleged privacy concerns. However, Microsoft cannot be accused of a lack of transparency or a poor implementation of the topic of IT security with their service OneDrive for Business – even if the company has its headquarters in the USA. Nevertheless, it should be said at this point that by confirming the OneDrive terms of use, Microsoft obtains the right to sift through the customer’s data automatically. This measure serves to find files that show “inappropriate” content. If the Microsoft crawler finds information that violates the guidelines, there is a risk of account suspension. If, as a new parent, you store the very first photo of the newborn baby in your personal OneDrive cloud, PhotoDNA technology could track down the respective photo and classify it as inadequate. The discussion about the extent to which those scans that are independent of suspicion make sense and are legally permitted at all has been going on for a long time – so far with different results. But the fact is: If you use OneDrive, you agree to the use of this technology and the fully automatic scan of your own data – you should know this if you use the tool or plan to use it.

If you are motivated to use OneDrive in your company, please do not hesitate to contact us. We can train you in handling OneDrive, support you in adapting access management and ensure that you use OneDrive for Business securely. If necessary, we also support you with data migration and setting up a filing structure – whatever it is: We are your contact for everything to do with Microsoft OneDrive!

QR codes have come a long way since their introduction in the tech world.

Though they were first invented in 1994, they’ve only become widely used in the past decade or so.

Nowadays, you might use these codes on a regular basis to access videos or websites on your phone, just like when you’re in a restaurant and you scan a QR code to look at the menu.

But did you know that you can utilise this tech yourself as an easy, hassle-free way to share PDF files?

In this article we’ll go through the process of creating your own PDF QR code, and the benefits of doing so over more traditional file sharing methods.

Be sure to visit Beaconstac and try their PDF QR code generator for a quick and handy way to generate your own QR codes.

What is a PDF QR Code Generator?

A PDF QR code generator is an online tool used to convert PDF files into QR codes.

The QR code generator encodes the link to the PDF so it can be read and understood by phone cameras.

When scanned, this QR code file provides an instant pathway to accessing the original PDF file.

As QR codes can be scanned by any modern smartphone, this means that almost anybody can use your QR code to access and view your PDF file, without the need for manually downloading the file itself.

It also means that digital PDFs can be shared through print media, such as newspapers and books.

How Do I Use PDF QR Code Generators?

Using online QR code generators couldn’t be simpler.

Simply access the code generator website (such as the one linked above) and copy and paste in the URL to the PDF into the text box. Alternatively, you can directly upload the PDF from your computer or mobile device.

The PDF QR code will then be generated.

From here, you can also customise the appearance of your QR code. You can adjust the colour, the design of the “eyes” of the code, whether the code has a circular or square outline, and more.

It’s always best to test your newly generated PDF QR code after it’s been generated to double-check that it’s functional and working as it should be.

After doing all that, your QR code is ready to use and print!

What Are the Benefits of PFD QR Code Generators?

PDF QR Code generators offer a much simpler and quicker way of sharing PDF documents than traditional means, such as email.

As the only tool needed is a smartphone, PDFs can be made to be readily accessible, sharable and downloadable across a variety of digital and physical mediums.

There’s no need to send the file directly to the recipient – all the person on the other end needs is the QR code, and they can download the file anytime, anywhere.

This allows for you to reach a far wider audience for your files than would normally be possible.

Another benefit is being able to edit and re-route existing QR codes using dynamic QR code technology.

This allows you to change the PDF that’s accessed when a QR code is scanned. This does away with the need to have to produce new QR codes for different PDFs every time.

Closing Thoughts

PDF QR code generators are a convenient alternative to sharing files when you want to reach a wide audience, or need a quick and easy way for people to access files.

Interested in learning more and using one for yourself?

Be sure to check out Beaconstac for their PDF QR code generator and other QR code tools and services.

Millions of people choose WordPress to create their websites, and it’s no coincidence. It allows users of all backgrounds to build custom sites easily and quickly with its myriad of themes, widgets, and plugins and its intuitive block editor.

However, WordPress is not a universal solution. It comes with some responsibility, and you need to look for hosting.

This article provides an in-depth look at WordPress alternatives to help you find the right solution for your goals and needs.

Should you ultimately decide to stick with the most popular website builder, have a look at this quick WordPress installation guide to make operation easier.

CMS Alternatives

The alternatives to WordPress come in two categories: CMS (content management system) and website builder alternatives. The first group includes Drupal, PrestaShop, Joomla, Magento, and more. Here are the details.

Drupal

Drupal’s customization options are practically endless. However, it’s most suitable for users with a background in PHP, CSS, and HTML.

Drupal may have fewer themes and modules than WordPress, but they’re very configurable. You always have control over how your site looks and works.

Needless to say, it’s harder to set up a Drupal site than a WordPress one. It’s also more complicated. If one makes an effort, they end up with a highly customized and secure site that can cope with large volumes of traffic and data.

Drupal is best for institutions like universities, agencies, and big corporations.

PrestaShop

PrestaShop is open-source, which means you can use the basic software without paying. You can also change the code as you wish. Compared to platforms like WordPress and Shopify, its dashboard can look really busy. It’s also harder to set up. However, it allows users to create a highly customized site out of the box.

Joomla

Joomla lets users configure many settings and modify banners, articles, media, menus, redirects, and more. The official directory has 6,000 extensions for added functionality. You must install these via the backend, so you can reckon with a steep learning curve.

Users with some expertise in web development will avail of the builder’s inbuilt flexibility to create more customized platforms.

Magento

Like PrestaShop, Magento is self-hosted with free software. However, extensions are not free, and the costs can add up.

Magento is suitable for e-commerce. It’s highly secure and flexible and has a steep learning curve. You can design your site as you wish as long as you have some coding experience.

Website Builder Alternatives to WordPress

This section looks at some website builders that can be used to create a site quickly. They include Wix and Jimdo.

Wix

Wix offers very high security, free and quality web hosting, and various SEO tools. There is a helpful and friendly support team to assist you in building and administrating the site.

There are hundreds of preset templates, which you can modify easily via the drag-and-drop editor. You can add scroll effects, video backgrounds, and animation for visual appeal. You can also design details from the ground up if you have experience with HTML and CSS.

Wix is perfect for small businesses or people creating portfolios due to its intuitiveness and comparatively low price.

Jimdo

Jimdo offers domain name registration, hosting, a user-friendly editing tool, and an email account. Its paid plans are the go-to option if you want search engines to index your site. These come with SEO tools, an SSL certificate, and other basic features.

Jimdo is a good option for startups and small businesses creating small online shops or simple websites. Its ease of use and affordable prices will please those who want to create portfolio sites or set up personal blogs.

Squarespace

You can choose from more than two dozen templates optimized for mobile with the final choice. They can be customized to build a site fast. You can create and optimize content using their SEO and blogging tools as you design your pages.

Once your site is live, the analytics tools will tell you what your visitors are looking for, the source of your website traffic, and how they’re interacting with your products or content.

Limited functionality is the most frequent complaint about Squarespace. There are neither plugins nor extra modules.
